Privacy Notice

This Privacy Notice explains how personal information is handled in connection with the Thailand Youth Creative Writing Competition 2026 (the “Competition”). The Competition is managed by the Thailand Youth Creative Writing Competition 2026 Organizing Team and sponsored by Thailand Post.

1. Information we collect
We collect only the information reasonably needed to run the Competition. Depending on the stage of the Competition, this may include:
- participant name, age and age group;
- email address and contact number;
- school information, if requested;
- the writing topic selected and the submitted creative-writing entry;
- confirmations relating to the Competition Rules and AI & Originality Policy;
- communications with the Competition team; and
- for finalists or winners, parent or legal-guardian contact details and publication permissions where required.
2. How we use the information
Participant information is used only for purposes connected with the Competition, including:
- receiving and administering entries;
- checking eligibility and assigning the correct age group;
- communicating with participants;
- conducting judging and reviewing compliance with the Competition Rules;
- selecting and contacting finalists and winners;
- administering certificates, trophies and the awards ceremony;
- responding to questions or disputes; and
- maintaining the security and integrity of the Competition.
Participant information will not be sold or used for unrelated marketing.
3. Thailand Post
Thailand Post is the sponsor of the Competition. Thailand Post does not receive participant-level information, submitted entries, Google Form responses, participant contact lists, or access to the Competition submission records.
4. Google Forms and service providers
The official submission process uses Google Forms and related Google services. These services are used to receive and store Competition entries and related information. Access to the submission form, response records and uploaded files is restricted to people who need it to administer or judge the Competition.
5. Website analytics
The Competition website uses Cloudflare Web Analytics for basic website and campaign measurement. The website does not use Google Analytics or advertising trackers.
Campaign links such as /school, /postoffice and /ig may be used to understand which channels bring visitors to the website. These measurements are used only to understand website traffic and campaign effectiveness.
6. Finalists, winners and publication
The Top 20 finalists are scheduled to be announced on the dedicated Results page on 10 October 2026. Before publishing a finalist's or winner's identifying information, submitted writing, photograph or video for Competition publicity, the Competition team will request the appropriate permission from the participant and a parent or legal guardian.
Copyright in the participant's original writing remains with the participant. Submission of an entry allows the Competition team to use the work as reasonably necessary to administer and judge the Competition. Any wider public or promotional use will be handled through the finalist or winner permission process.
7. How long we keep information
Personal information relating to participants who are not finalists will normally be deleted or anonymized within 12 months after the Competition results are finalized, unless it is reasonably necessary to keep specific information for a dispute, administrative record or legal requirement.
Finalist and winner records may be kept for longer where needed to maintain award, publication and permission records.
8. Keeping information secure
Reasonable steps are taken to limit access to Competition information. Submission records and uploaded files are kept in controlled accounts, and access is limited to the people who need the information for Competition administration or judging.
9. Questions and privacy requests
Participants, parents or legal guardians may contact the Competition team with questions about personal information or to request access, correction, deletion or other rights available under applicable data-protection law.

10. Changes to this notice
This notice may be updated if the Competition process changes. The latest version will always be published on this page.
